Your first 2 minutes

Getting set up is fast. All you need is the family's invite link.

    Open the invite link

    Tap the invite link the parents sent you (usually by text or email).
  2. 2

    Sign in with Google

    Use whichever Google account you want tied to this job. No separate password needed.
  3. 3

    You're in — land on Clock tab

    You'll see a big Clock In button and the day's handoff note. That's your home base.
  4. 4

    Add to Home Screen (optional)

    Tap your phone's share button → Add to Home Screen. You'll get a NannyTime icon that opens full-screen like a real app.
💡 Tip: No invite link? Just ask the parents to text it to you — they can share it in two taps.

Clocking in and out

    Tap Clock In when you arrive

    The big pink button on the Clock tab. You'll see a live timer showing today's hours.
  2. 2

    Stay signed in on your phone

    You only need to clock in/out — you don't need to reopen the site each time. A widget-style bar shows you're on the clock.

    Tap Clock Out when you leave

    Same button, now labeled Clock Out. If you forget, add an adjustment note and the parents can correct it.

    Check your hours

    The Clock tab shows today's running hours. For the week + pay period, tap the You tab — if the parents share pay totals, you'll see dollar amounts alongside your hours.
💡 Tip: Forgot to clock out last night? Tap into Clock tab and add an adjustment note — the parents can edit the entry to the right time.

Daily handoff notes

    Write a quick recap

    At the end of the day, jot a line or two in the daily note box — naps, meals, mood, anything the parents would want to know.
  2. 2

    Read notes from the parents

    Any message the parents leave for you shows up in the 'From Parents' section above the daily note box.

    Your note is today-only

    Each day is a fresh note. Yesterday's recap is saved and visible in the Journal tab as part of history.

Each child's profile

Every child has a profile with everything you need to keep them safe and happy — allergies, medical conditions, comfort items, sleep routine, and more.

    Where to find it

    Tap the Children tab. Each child's card shows quick-glance badges (allergies, medical, dietary). Tap into a card to open the full profile.
  2. 2

    Health & safety

    Allergies (with severity), medical conditions, and dietary restrictions all live here. If something changes, ask the parents to update — only they can edit profiles.
  3. 3

    Personality & comfort

    Likes, dislikes, fears, and comfort items (favorite stuffy, blanket). Especially helpful during meltdowns and bedtime.
  4. 4

    Routine & notes

    Hobbies & interests, sleep / nap routine, and any free-form notes the parents left for you. Read these once on day one — they save you guesswork the rest of the time.
💡 Tip: Allergies and medical conditions also flash as red badges on the child card so you can't miss them at a glance.

Medications

If the parents have authorized any medications for a child, you'll see them on the child's profile. Some are scheduled (given at fixed times); some are as-needed (PRN — given when symptoms appear).

    Where you'll see them

    Open the Children tab → tap a child → scroll to Medications. Authorized medications show a 'Record dose' button. Medications the parents haven't authorized appear as info-only so you know they exist but can't record doses.

    Read the instructions every time

    Each medication has dosage and special instructions ('with food', 'only if fever > 100°F'). Read them before every dose — they're there for the child's safety.
  3. 3

    Record a dose (you must be clocked in)

    Tap Record dose, optionally add a note ('given with applesauce', 'fever was 101'), and confirm. The button is only available while you're clocked in — that ties every recorded dose to a real shift.
  4. 4

    If you can't record

    Common reasons: you're not clocked in, the medication isn't authorized for dispensation yet, or the course has ended. If unsure, message the parents in the daily note.
💡 Tip: Always double-check the child's name and the dose before tapping confirm — your record is permanent. If you make a mistake, add a follow-up note explaining what happened.

Posting photos & moments

    Open the Journal tab

    Tap Journal at the bottom, then the big pink 'Post Moment' button.
  2. 2

    Add a photo or short clip

    Tap the camera icon — take a new photo or pick one from your phone. You can add up to several to one entry.
  3. 3

    Write a caption

    A sentence is plenty. Mention the kid by name or nickname and we'll auto-tag them for the parents.
  4. 4

    Back-date if it was from yesterday

    Before posting, tap the date — change it to the day the moment happened.
💡 Tip: Even one photo a day makes a huge difference for parents — it's the #1 thing they love about NannyTime.

Calendar & tasks

  1. 1

    See what's on today

    Calendar tab shows tasks parents have set up (e.g. 'bring snack', 'music class at 3'). Tasks with reminders ping you ahead of time.
  2. 2

    Mark things complete

    Tap the checkbox when it's done. Parents see it's handled.
  3. 3

    Add your own tasks

    Tap + to create a reminder for yourself. You can only delete tasks you made yourself.

Today's chores

On your Calendar tab, you'll see a 'Today's Chores' panel showing everything assigned to you and the kids for the day.

    Check your assigned chores

    The 'Assigned to You' section shows chores the parents created for you — like tidying the living room or folding laundry. Tap the circle to mark one done.
  2. 2

    See kids' chores too

    Below your chores, you'll see 'Kids' Chores' — tasks assigned to each child (like 'Pack school bag — Mila'). You can help them check these off too.
  3. 3

    Chore statuses

    When you mark a chore done, the parents can verify it later. If a chore doesn't apply today, the parents may skip it. You'll see the updated status reflected.
💡 Tip: Chores refresh on their schedule — daily chores come back each morning, weekday chores appear Monday through Friday. You don't need to do anything to make them reappear.

Shopping list

On your Calendar tab, below the chores, there's a shared shopping list. You can add items and check them off at the store.

    Add items

    Type in the search box and suggestions pop up — over 500 common items. Select one and it files into the right category (Produce, Dairy, Meat, etc.). You can also type anything custom.
  2. 2

    Set quantities with unit pills

    Tap a unit pill (lbs, oz, ct, dozen, bag, etc.) to quickly set the quantity. Or just type it in the Qty field yourself.
  3. 3

    Check items off at the store

    Tap the circle next to any item when you've picked it up. The parents can see the progress in real time from their end.
💡 Tip: Running to the store after work? Check the shopping list before you go — the parents may have added items during the day.

Logging mileage (if enabled)

    Check the You tab

    If the parents turned on mileage, you'll see a Mileage Log on the You tab (the person icon, bottom right).
  2. 2

    Add a trip after driving

    Enter the date, a short description ('pickup from school'), and the miles. That's it.
  3. 3

    Totals roll into pay

    If you can see pay, your mileage reimbursement appears alongside your hourly pay on the You tab alongside today, this week, and pay period totals.

Safety contacts at your fingertips

    Find them on the Clock tab

    The parents add pediatrician, emergency backups, family, friends, neighbors — anyone they want you to reach in a pinch. They appear as one-tap call buttons near the bottom.

    Tap to call

    No need to save contacts to your phone — tap the contact, your phone dials instantly.

Terms of Service

Every nanny accepts a short Terms of Service once when they first sign in — one screen, plain English. If we publish a meaningful update, you'll be re-prompted at next sign-in.

    First-time acceptance

    Right after Google sign-in, the Terms appear. Read, scroll to the bottom, then tap Accept. Once per account.
  2. 2

    Read them anytime

    The current Terms are always available at /terms — open the link in any tab.
  3. 3

    If Terms change

    We'll prompt you to accept the new version next time you sign in. Your data is safe — it's just a quick re-acknowledgment.

Notifications & reminders

    Task reminders

    If a task has a reminder time, your phone buzzes at that time — as long as you've allowed browser notifications.
  2. 2

    Notification permission

    First time you tap Allow Notifications on the Calendar tab, your browser asks — say yes.

Frequently asked questions

Can I see how much I've been paid?+
Only if the parents turn on 'Show pay totals to my nanny'. When it's on, the You tab shows today, this-week, and pay-period totals in dollars. When it's off, you'll only see hours.
What if I clock in by accident?+
Just tap Clock Out right away. The entry will be small (usually under a minute). If you want it cleaned up, add an adjustment note and the parents can delete or edit it.
Can I edit my own hours?+
No — for trust reasons, only the parents can edit time entries. But you can always add an adjustment note ('clocked out 15 mins late — actual end 5:00') and they'll fix it.
What if geofencing blocks my clock-in?+
The parents set a radius around their home where clock-ins are allowed. If yours is blocked, call them — they can disable geofencing for you specifically, or for the whole family.
Why can't I record a dose for this medication?+
Three possibilities: (1) you're not clocked in — record-dose only works during a shift; (2) the parents haven't authorized this specific medication for dispensation yet; (3) the medication's course has ended. Ping the parents in the daily note if you're unsure which it is.
Where do I see what each child is allergic to?+
On the Children tab — each card shows quick-glance badges for allergies and medical conditions. Tap into the card for full details including severity and notes.
I had to accept Terms of Service — what was that?+
Every nanny accepts a short Terms of Service once when they sign in. It's plain English, one screen, and you only do it once per account. If we ever update Terms in a meaningful way you'll be prompted to accept the new version.
What about photos — where do they go?+
Photos are stored privately in the family's cloud storage. Only parents and guardians with access can see them. Nothing goes to social media.
Can I work for multiple families on the same account?+
Not yet — each Google account is tied to one family. If you nanny for two families, use two different Google accounts (or ask us!).
Is my location tracked?+
Only if the parents enable Location Tracking. You can see if it's on from your Clock tab. It's always off by default.
Who do I ask if something's wrong?+
Ask the parents first — they control most settings (hours, pay, calendar, mileage). For anything else, use the Ask NannyTime chat at the bottom of this page or email [email protected].
